Order Creation

Use the Order Creation page to create a new delivery order for a patient.

How to Start a New Order

  1. Go to the Deliveries page.

  2. Click the blue plus (+) button in the top-right corner of the screen.

  3. Begin typing the patient’s name in the Full Name field.

Existing Patient

If the patient profile already exists in the Patients page:

  • The patient’s name will appear in the dropdown list.

  • Select the correct patient from the dropdown.

  • The remaining patient information will be filled in automatically.

New Patient

If the patient does not already exist:

  • Enter the patient information manually.

  • Once the order is created, the patient profile will be saved for future orders.


1. Patient Information

Complete the required patient details in the Patient Information section.

Field

Description

Full Name

Enter the patient’s full name. You can search for an existing patient or enter a new name.

Address

Search and select the patient’s delivery address.

Unit

Enter the unit or apartment number, if applicable.

Buzzer

Enter the building buzzer number, if applicable.

Phone Number

Enter the patient’s main phone number.

Alternative Phone

Enter a secondary phone number if available. This field is optional.

Pharmacy Notes

Add any internal notes from the pharmacy. This field is optional.

Delivery Instructions

Add instructions that should be saved to the patient’s profile, such as “leave at front door” or “ring doorbell.” This field is optional and will be saved for future orders.


2. Delivery Details

Complete the order-specific delivery information in the Delivery Details section.

Field

Description

Special Instructions

Add instructions that apply only to this specific order. This field is optional.

Fridge Item

Select Yes if the order contains medication that must be kept refrigerated.

Narcotics

Select Yes if the order contains narcotics. The portal will guide the pharmacy through the required narcotic delivery process.

Signature Required

Select Yes if the driver must collect a signature from the patient. This is set to a custom form for specific pharmacies.

Photo Required

Select Yes if the driver must take a delivery photo upon drop-off.

Number of Packages

Enter the total number of packages included in the order, especially if there is more than one package.

RX ID

Enter the prescription ID, if applicable. This field is optional unless the order contains narcotics.

TX ID

Enter the transaction ID, if applicable. This field is optional and can be used for internal reference.

Narcotic Orders

When an order is marked as Narcotics, the portal will guide the pharmacy through the required narcotic delivery process based on College of Pharmacists regulations.

For narcotic orders:

  • The pharmacy will be asked to sign for releasing the order when the order is submitted.

  • The driver must secure the package during transport in a lock box.

  • The driver must check the patient’s ID.

  • The driver must sign for the package.

  • The patient must sign to confirm they received the medication.

  • After the delivery is completed, the pharmacy can view and print the custody form from the Order Detail page.

Important: If the patient is not home, the narcotic order will not be delivered.


3. Schedule

In the Schedule section, choose how often the order should recur.

Schedule Option

Description

Once

Select this option for a one-time delivery.

Weekly

Select this option if the delivery should repeat every week. Weekly orders can be scheduled for more than one day per week, up to 7 days a week.

Bi-Weekly

Select this option if the delivery should repeat every two weeks. Choose the starting date, and the order will appear every two weeks on the selected day.

Every 4 Weeks

Select this option if the delivery should repeat every four weeks. Choose the starting date, and the order will appear every four weeks on the selected day.

Monthly

Select this option if the delivery should repeat once per month. The order will recur on the selected date each month.

Recurring schedules are useful for patients who receive medication on a regular basis.

After selecting the correct frequency, click Create Patient & Order.


4. Submit the Order

After clicking Create Patient & Order, the order is created but not yet submitted.

To submit the order:

  1. Go back to the Deliveries page.

  2. From the top-right corner, select the date you would like to submit the order for. In most cases, this will be the same day.

  3. Select the order you want to submit.

  4. Click the Submit Order button.

Once submitted, the order will be ready for processing.
